This page explains what personal information I collect when you visit findinspira.com or get in touch, what I do with it, and the rights you have. The site collects very little, so it is short.

1. Who I am

FindInspira is the trading name of Ian M Chapman, of Duffus Lane, Elgin, IV30 5PD, Scotland. I am the controller of the personal information described on this page, under the UK GDPR and the Data Protection Act 2018. You can reach me at hello@findinspira.com.

2. What I collect

When you email me. Your name, email address, organisation and role if you give them, and whatever else you choose to tell me. The site has no contact form, so email is the only way to write to me through it.

When you visit the site. My hosting provider logs standard technical information when a page is requested: your IP address, browser and device type, the pages you asked for, and the date and time. I use it to keep the site secure and running. I do not use analytics, advertising or tracking tools, and the site sets no cookies (see the cookie policy).

If we work together. Contact details, details of the engagement, my notes, and invoices and payment records.

If you connect on LinkedIn. LinkedIn handles that information under its own privacy policy. I see what you choose to make visible to me.

3. How I use it, and why

  • Replying to your enquiry and talking about working together. Legitimate interests, and taking steps at your request before a contract.
  • Delivering consultancy or coaching. Performing our contract.
  • Tax, accounting and other legal records. Legal obligation.
  • Keeping the site secure and working. Legitimate interests.
  • Getting in touch about my services. I may contact people in business roles when I think my work is relevant to them. This rests on legitimate interests. I keep it brief and relevant, I follow the Privacy and Electronic Communications Regulations (PECR) on marketing email, and I stop as soon as you ask.

I do not sell personal information, and I do not use it for automated decision-making.

4. Who I share it with

Only with service providers who handle it on my instructions: my web hosting provider (Netlify), my email and file storage providers, and my accountant and accounting software. I will also disclose information where the law requires it.

5. Transfers outside the UK

Some of those providers operate in, or process data in, countries outside the UK, including the United States. Where that happens I rely on a UK adequacy arrangement, such as the UK-US data bridge for certified companies, or on standard contractual safeguards approved for UK use.

6. How long I keep it

  • Enquiries that do not lead to work: up to 24 months, then deleted.
  • Client records, invoices and agreements: six years after the engagement ends, for tax and legal reasons.
  • Marketing contact details: until you ask me to stop. I then keep a minimal record so I do not contact you again.
  • Server logs: held by my hosting provider for the period its own settings allow.

7. Confidentiality in client work

What clients tell me in consultancy and coaching is confidential. I handle it under the terms of our engagement agreement, and I share it only with your consent, or where the law requires it, or where someone's safety is at risk.

8. Security

I take sensible technical and practical steps to protect what I hold. No system on the internet is completely secure, and email in particular travels across networks I do not control. Please bear that in mind when deciding what to send.

9. Your rights

You can ask me to give you a copy of your personal information, correct it, delete it, restrict how I use it, or move it to another provider. You can object to my use of it where I rely on legitimate interests, and you can object to marketing at any time. Where I rely on your consent, you can withdraw it whenever you like.

Email hello@findinspira.com and I will reply within one month. There is normally no charge.

If you are unhappy with how I have handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

10. Children

This site is written for professionals and is not directed at children. I do not knowingly collect information from anyone under 18.

11. Changes

If I change how I handle personal information I will update this page and the date at the top.
